Email Setup Form
To open the Email Setup form, click on Setup > Other in the shortcut
or drop-down menu, then click on Email.
Explanation:
Smart Contractor sends email directly, rather than use the email system installed on your computer (like Microsoft
Outlook, Windows Live, or Outlook Express). The reason is because Microsoft's new heightened security
measures make it impossible for third party applications (like
Smart Contractor), to send email with attachments. Since Smart Contractor sends
email with file attachments in a number of situations, it is necessary to use
other means. So, to do that, Smart Contractor needs your email server login
information.
A number of forms in Smart Contractor have the ability to send email. For
example, the Create Quote Request form can email price quote request (with an Excel spreadsheet attached) to allow
vendors to enter prices and email it back. (Use the Import Vendor Prices form to import the
prices.)
To send email, Smart Contractor needs information necessary to login to your
email service provider. You can find this information in the email system that
you are currently using on your computer.
Below are examples of how to find your email server login information to enter into Smart Contractor:
Outlook: |
If you are using Outlook, follow these steps:
- Click on "Tools", "Email Accounts...".
- Click on "View or change existing email accounts"; click "Next".
- Select the email account and click "Change".
- Select and copy the value of the "Outgoing mail (SMTP)" prompt into the prompt for "Outgoing SMTP Email Server" in Smart Contractor.
- Select and copy the value of the "User Name" prompt into the prompt for "Email Username" in Smart Contractor.
- Enter your email login password in the prompt for "Email Password" in Smart Contractor. If you do not know your
email server password, you will have to contact your internet (email) service
provider.
- Click on More Settings... in Outlook.
- Click on the Advanced tab.
- If "Outgoing Server (SMTP)" is set to anything other than 25, then copy that number into the prompt for "Outgoing SMTP Server Port" in Smart Contractor.
- If "This server requires an encrypted connection (SSL)" (below "Outgoing Server (SMTP)") is checked, then check "Use SSL" in Smart Contractor".
- Follow instructions below for the remaining prompts.
If you cannot find your email service account login information, you can
obtain it from your internet (email) service provider.

Outlook Express: |
If you are using Outlook Express, follow these steps:
- Click on "Tools", "Accounts..." to open the Internet accounts setup dialog
box.
- Click on the "Mail" tab.
- Click on your email account in the list.
- Click on "Properties" to open the properties dialog box.
- Click on the "Servers" tab.
The Outgoing SMTP Email Server
appears in the prompt for "Outgoing mail (SMTP):" The Username
appears in the prompt for "Account name:" The Password appears in
the prompt for "Password:", although it is disguised. If you do not know your
email server password, you will have to contact your internet (email) service
provider.
- Follow instructions below for the remaining prompts.
If you cannot find your email service account login information, it can be
obtained from your internet (email) service provider.

Gmail (Google Mail): |
If you are using Gmail, follow these steps:
- Enter "smtp.gmail.com" in the prompt for "Outgoing SMTP Server".
- Enter 465 in the prompt for "Outgoing SMTP Server Port".
- Check the "Use SSL" box.
- Follow the instructions below for the remaining prompts.

Outgoing SMTP Email
Server: |
Enter the host name or IP address of your outgoing SMTP
email server. This can be in the form of a URL (example:
"websitename.com") or an IP address (example: 123.12.23.123). |
Outgoing SMTP Server
Port: |
Enter the port number of your outgoing SMTP email
server. |
Use SSL: |
Check to use SSL to communicate with outgoing SMTP email
server. |
Email Username: |
Enter your email account username. |
Email Password: |
Enter your email account password. |
Email From Address: |
Enter the email address that will appear in the "From"
information of the email you send from Smart Contractor. This is the
address that email recipients will reply to. |
Send Attachments In Zipped File: |
Check this option to have attachments to emails sent in a zipped file. |
Request Receipt Notification: |
Check to request a notification of when emails are opened by the recipient(s).

Enter an email address to automatically blind carbon copy emails sent from Smart Contactor.
